Analytics: what the numbers mean

GuideUpdated October 16, 2026

In short

Each Analytics tab answers one question: how the month is going, what is ahead, whether clients come back, where time is lost, how each person is doing, what sells and whether your texts go out. The owner sees it all, receptionists see What's ahead and Lost time without amounts, and anyone who offers services sees their own numbers in My Analytics. Booked value is the price saved at booking, not money collected.

Analytics is built around the questions you ask about your shop every week. Each tab opens with the question, a sentence that answers it, a few numbers compared with the past, and a chart or a list that explains the change. Everyone who offers services also has My Analytics in their profile: the same questions, about their own work.

The tabs

Pulse

How are we doing? Booked value, visits, average ticket, new clients and hours booked, against the same days before. While the month is running, the pace bar shows what is done and what is already booked for the rest of the month. Under the chart, the last 12 months sit beside the same months a year earlier.

What's ahead

How full are the next 7 and 14 days, against how full your weeks usually end. It lists the largest gaps in each person's working hours, with a link to that day on the calendar, and the online requests still waiting on you. Pick a coming month to see how it is shaping up: how much is booked, how full that is, and how much of it is standing appointments from repeating series.

Clients

Are clients coming back? New clients, how many came back within 90 days, how many visits were rebooked before the client left, and the regulars who are overdue right now.

Lost time

Where do we lose time and money? Empty hours, no-shows, late cancellations and Kept from no-shows.

Team

How is each person doing? First, Worth a look names what is unusual for someone against their own last 3 months (far more cancellations, far fewer visits, a much emptier diary), and it says so once when it is the whole shop. Then Who has room for the rest of this month (for a past month, How full they were), then each specialist as a row you can sort by any column. Tap a person to read their month, their new clients, how many came back and how many booked their next visit before leaving.

What sells

Which services and packages sold the most, with variants you can open, and the promotions that had visits in the period.

Messages

Are your texts going out, why some were not sent, and what they cost.

Who sees what

Owner
Every tab, the whole shop
Amounts included, per person on Team, Lost time and What's ahead.
Receptionist
What's ahead and Lost time
The whole shop, never amounts. Fill per specialist on What's ahead, shop totals only on Lost time.
Anyone who offers services
My Analytics, in their profile
Pulse, What's ahead, Clients, Lost time and What sells, for their own work, amounts included.

Team and Messages are the owner's only. Access to the team's clients and calendars never widens analytics: with it on or off, an employee sees their own work in My Analytics and none of a colleague's numbers. A receptionist or owner with no services assigned has no My Analytics.

Periods

There is no period picker at the top. Each tab opens on the period its question needs: this month so far for Pulse, Lost time, Team, What sells and Messages, this year so far for Clients, and the coming days for What's ahead.

To look at another period, tap the period label on the question line, for example "October so far". A list of months opens, newest first, each with its value. On Pulse and Messages you can also tap a month in the 12-month chart. A month you pick follows you to the other tabs, and a bar under the tabs reminds you what you are reading, with a link back to the current month. Clients reads whole years, so it shows the year of the month you picked. What's ahead looks forward instead, at the coming months.

So far
Through yesterday
Today is shown apart, as "today so far", so a quiet morning never reads as a bad day.
First 3 days of a month
Open on the month just finished
On the 1st there is nothing to count yet. From the 4th the running month opens.
Comparison
The previous month, or last year if you choose
The previous month. Tap the compared period in the headline to compare with last year instead.

The headline names the period everything is compared with. On Pulse, tap it to compare with last year instead (the cards follow); on the other tabs, the line under the headline does the same. When either side is small (under 10), you see the two numbers, not a percentage.

The eye button next to the title hides every amount. It is the same eye as on the Dashboard, so amounts hidden there stay hidden here.

What counts

A visit
Started, and not cancelled, declined or a no-show
Busy blocks and personal time never count. A visit with no client linked still counts.
A visit with several services
One visit
Booked value still adds up the price of each service.
No-shows
Not a visit
Not in visits or booked value. They have their own line on Lost time.
No price
Adds nothing
The visit counts, but adds nothing to booked value.
Pending requests and tentative (?)
Shown apart
Never folded into what is booked or into fill.

Reading booked value

Booked value is the price saved on each appointment when it was booked, added up by appointment date. It is not what went through a card reader or into your account.

So a later change to a service's price does not change past months. A service booked with a price range counts at the lowest price until you open the appointment and use Set price.

Fill and empty hours

Fill is booked time against each person's own working hours, minus their days off and busy blocks. A day off is never an empty hour, and an empty hour is never turned into money: Lost time counts hours only. A shop with no opening hours set has nothing to measure fill against.

Clients

Clients only counts visits with a linked client, and says how much of your visits that covers. If your shop runs on Google Calendar, we know your clients from when your calendar was connected, and the first 90 days after that are a learning window: the regulars who come in then are not counted as new.

A client is overdue after at least 3 visits, once the time since their last visit is well past their usual gap and nothing is booked. Overdue is about today, so it only shows for the current year. In My Analytics, a client is yours to call only if their last visit at the shop was with you.

Messages

Sent means your phone or your SMS provider sent the message. It never means delivered. When the network sends back a delivery report, you see it as a report, and a message without one may still have arrived.

A message that waited too long for credits, the plan's messages or opening hours is counted as not sent, with that reason. Messages stopped on purpose (the client opted out, texts were switched off, or the message was no longer needed) are counted apart and are not failures. Verification codes the platform pays for are counted from 13 October 2026 and cost you nothing.
